Confidential Disciplinary Matter concerning a member - FYI

Dear Members

The Committee being open and transparent wish to inform members at BTSC that they have recently managed and concluded a disciplinary matter involving a member.
There was an event that took place during the month of June with subsequent and additional concerns being raised that had to be investigated. Being consistent to provide feedback to members this matter can now be been formally shared as it is concluded.

Although the incident and subsequent investigation pre-dated our appointments as Chair and Welfare Officer, it is important for us to provide feedback and deliver a conclusion on behalf of the Committee with the appropriate level of confidentiality, in accordance with the BTSC Disciplinary Policy for Members.

We would therefore like to summarise and inform you of the following facts;
1. Following an incident that occurred at the Club in early Summer 2024, a formal investigation was conducted which also addressed other areas of concern brought to the attention of the Committee.
2. The BTSC Disciplinary Policy for Members was applied in addition to the Club Rules and Code of Conduct for Members were also appropriately considered.
3. The Member concerned was treated fairly during the investigation and given the opportunity to make representation.
4. The Investigation Panel whom no longer sit on the Committee, forwarded the Investigation Report to the newly appointed Committee in September 2024.
5. The report has been rigorously scrutinised re its content and quality.
6. The Member concerned was found to be in serious breach of both the Club Rules and Code of Conduct, the behaviour demonstrated by the member at the initial incident was deemed not to be acceptable and one of Gross Misconduct.

The full Committee has now voted and unanimously agreed on the following:-
Due to the serious nature of the primary incident, the member is permanently expelled from BTSC, this action being suspended for 24 months from the date of the letter of notification which the member has now received.
Furthermore, at no point in the future will the member be permitted to hold any position of privilege in BTSC, including, but not limited to, sports captain, bar member nor that of committee officer.

In addition, any coercion or influence of any other club member by the member that undermines the committee individually or collectively or demonstrates any indication of retribution, that attempts to bring the club into disrepute will result in immediate expulsion from the club.
There was no appeal available on the members behalf, or that of others; the committee’s decision was final.

Violating the Club’s Rules, Disciplinary Policy for Members, Code of Conduct for Members and other policies can ultimately lead to expulsion at the Committee's discretion and the Committee will not tolerate any member that indicates dismissive behaviour to disregard the wellbeing of other members nor Committee.

Matters of this nature are very time-consuming for a volunteering Committee and extremely upsetting for all concerned. The members of the Investigation Panel were thanked for their work in carrying out a comprehensive investigation.

None of us take any pleasure in such occurrences, however it is a great strength of the Club that its Disciplinary Policy, Club Rules and the Code of Conduct for Members underwent scrutiny.

We as a Committee recognise there are always lessons to be learned when such incidents occur which are thankfully extremely rare at our Club and are not an accurate reflection of our loyal members.

The Committee going forward will continue to take the opportunity to review all policies and will inform you of any changes made.

This matter for now is closed to allow the Committee to move forward and focus on what makes our Club a truly special place to all of us.
